Job description

To receive stock and returns from point of delivery, reconciling delivery notes against purchase orders to check for accuracy and report on any discrepancies.

Qualifications

  • Process purchase orders – purchase order creation in the system where requires
  • Oversee and coordinate the activities of intake workers, ensuring they follow proper procedures.
  • Train new staff on intake procedures, safety protocols, and deliver team briefings about any updates.
  • Ensure all incoming goods are correctly and accurately recorded in the system
  • Ensure that the quantity of goods received matches the quantities listed in the shipment documentation.
  • Ensure that the intake process follows the necessary health and safety standards.
  • Ensure that all intake-related records are properly documented, including CMRs, discrepancies, and pallet receiving sheets.
  • Document and report any issues encountered during the intake process, such as damaged or missing goods, broken pallets,
  • Double-check that all incoming goods documentation is accurate, properly filed and correct stamps applied.
  • Communicate intake status, issues, or delays to warehouse managers, ensuring the team stays on track.
  • Ensure that the intake process runs smoothly and efficiently, minimizing downtime
  • Ensure that high-priority shipments are handled and processed promptly to maintain operational flow.
  • Supervise the process for handling returns and rejections, ensuring proper documentation and segregation of goods.
  • Work with customers to resolve issues with rejected goods and facilitate returns when necessary
  • Complete and submit any necessary reports related to intake performance, issues to warehouse management (KPIs).
  • Investigate and resolve any discrepancies between physical stock and stock records, working with the stock team if necessary.
  • Work with other departments to ensure that intake procedures do not cause delays in fulfilling customer orders.
  • Record serial numbers where applicable
  • Review and test ‘Goods- In’ processes and procedures to ensure stock booked into the system is accurate.
  • Ensure Customer Stock queries handled and responded to same day.
  • Support Customer stock audit cycle and reporting.
  • Promote best practice in stock management.
  • Responsible for maintaining the highest standards of food safety and hygiene on site. This includes following all company policies, legal requirements, and industry best practices to ensure that food products are safe, compliant, and of the highest quality.
