Job description
We are seeking a detail-oriented Custom Admin to manage and streamline the Purchase Order (PO) process in the ISS ERP system. The Custom Admin will play a crucial role in coordinating communication between the warehouse, sales, and customs teams to ensure smooth operations related to product arrivals, scheduling, and logistics. This role involves handling the creation and management of POs, identifying discrepancies in packing lists, and providing updates across teams to facilitate timely arrivals.
Responsibilities
- Create Purchase Orders (POs) in the ISS ERP System
- Accurately generate POs in the company’s ERP system to align with customer packing lists and scheduled product arrivals.
- Coordinate with the Warehouse Team on Arrivals
- Regularly communicate with the warehouse team regarding expected arrivals and coordinate their readiness for receiving shipments.
- Liaise with the Sales Team on Arrivals: Keep the sales team informed about product arrivals, ensuring they are aware of any potential delays or issues that may impact delivery to customers.
- Provide Progress Updates
- Maintain continuous communication with the sales and customs teams on the status of PO creation and upcoming arrivals.
- Provide regular updates on progress and any changes to schedules.
- Review Customers’ Packing Lists for Discrepancies
- Carefully review packing lists provided by customers, identifying and reporting any discrepancies that may affect shipments or customs processes.
- Manage and Prioritise POs Creation: Stay proactive in POs management, ensuring timely creation and updates of POs to avoid delays in shipment and arrivals.
- Support the Customs Team
- Assist the customs team by updating logistics files with new POs and ensuring that all information is accurate and up-to-date for customs clearance.
- Update Arrival Dates and Schedulers
- Update arrival dates both at the PO level and in internal scheduling systems, ensuring that any delays or changes are communicated promptly to all relevant stakeholders.

Qualifications
Strong understanding of ERP system, particularly Prophet.
Excellent communication skills, with the ability to liaise effectively across departments
Detail-oriented with strong organisational and time-management abilities
Ability to identify and resolve discrepancies in documentation
Experience in logistics, procurement, or supply chain management is a plus
Proficiency in MS Office, particularly Excel, for managing and updating logistics files
