Job description
Responsible for managing sales orders, stock allocation, and transport bookings to ensure on-time delivery. Acting as the first point of contact for assigned product categories, this role requires strong coordination with internal teams, customers, and supply chain partners to meet customer expectations. The successful candidate will also oversee data processes, system management, and support training for new team members.
Responsibilities
- Transfer daily supermarket orders from “We Supply” for next day/same day delivery and upload to Prophet ensuring all orders have been checked and received correctly, also booking transport where needed
- Efficiently manage sales orders to ensure timely processing and fulfillment.
- Proactively work on stock allocation for both the next day and the current day.
- Oversee stock allocation processes across all retailer customers.
- Ensure on-time allocations for the operations team.
- Coordinate allocation with customers to meet their expectations.
- Manage retailer and non-retailer sales orders and sales order imports.
- Handle and allocate customers stock following the correct procedures.
- Follow the correct procedure in stock allocation to ensure accuracy and efficiency.
- Responsible for stock jobs processing according to forecast or confirmed sales, ensuring accuracy in quantities, job categories, and BOMs.
- Take care of customer stock and ensure proper management to meet demand.
- Act as the first point of contact daily for assigned product categories.
- Assist customers with their queries and respond in a timely manner.
- Communicate effectively with customers at the expected level to address inquiries and resolve issues.
- Provide updates on order status, stock availability, and delivery schedules.
- Ensure a high level of customer satisfaction through professional and proactive engagement.
- Responsible for transport booking for orders to ensure on-time delivery.
- Work closely with logistics teams and transport providers to manage shipments.
- Monitor and track deliveries, addressing any issues to avoid delays.
- Oversee the synchronization and EDI processes for data management.# Utilise Prophet ERP for order processing, transport coordination, and inventory tracking.
- Work closely with customers’ supply chain teams to track actual sales quantities.
- Ensure job accuracy by verifying quantities and assigning correct BOMs groups job level.
- Understand and apply correct category to ensure correct usage and charges on jobs.
- Utilise production-related systems efficiently in daily tasks (Job View/ Job Scheduler)
- Work closely with and support all team members to ensure smooth operations.
- Work closely with the planning team to ensure efficient processes.
- Support the training and onboarding of new team members.
- Assist in process optimisation to improve efficiency and accuracy.
- Ensure that all product is used efficiently and effectively to maximise yields.
- Provide information to the customers operations team to facilitate the most efficient distribution solution versus packing requirement
- To be responsible for taking charge of all account based queries in the first instance.
- Use Prophet Pallet Maintenance in full, to prepare detailed daily job sheets to enable the third party packing operation to accurately produce the required Tesco final product.
- Actively liaise with colleagues on a day to day basis on matters relating to stock, work orders, stock errors etc., to allow for decisions to be made “real-time” which will increase the accuracy of stock usage information.
- To monitor and investigate if stock movements within the Production Team are recorded accurately on the ERP system.
- Ensure that all relevant Key Performance Indicators (KPIs) are accurately documented and maintained.
- Ensure that all practices and procedures are carried out in accordance with Company Policy and Health & Safety guidelines.

Qualifications
- Strong understanding of order management, stock allocation, and transport booking.
- Experience with ERP systems (preferably Prophet ERP).
- Knowledge of EDI and synchronization processes for data management.
- Excellent coordination and communication skills with internal and external stakeholders.
- Strong attention to detail and ability to manage multiple tasks.
- Analytical mindset with problem-solving capabilities.
- Ability to train and support new team members.
- Experience working in a supply chain or sales operations environment is a plus.
- Previous experience in Fresh Produce
- Knowledge of Prophet (preferable)
