Job description

To provide a comprehensive administrative support service to the production and stock control functions ensuring that all processes and documentation is accurate and completed in a timely manner to allow for the efficient operation of the site. Responsible for the organisation, distribution and closing of all production Works Orders accurately and within the same shift window.

Responsibilities

  • Accurately control and complete production related paperwork across all production lines, and stock movement documentation.

  • Communicate with the Shift Support Supervisor to ensure plans and stock orders are communicated and executed smoothly and on time.
  • Liaise with ISS Sales team and Planning and Performance Analyst to ensure all orders are captured, all jobs are set up on the correct lines, and the shift is conforming to the plan.
  • Provide regular Plan Status updates to Production Management Teams.
  • Manage the “Production Quality Alert” process to communicate quality-driven production issues internally and with customers.
  • Review and reconcile work order stock information to improve stock accuracy, ensuring works orders are closed by the end of each production shift.
  • Actively liaise with colleagues daily on matters related to stock, work orders, stock errors, etc., to enable real-time decision-making and increase accuracy of stock usage information.
  • Ensure all product is used in the allocated order, scanned correctly to each job, and that end stock and out grades are properly recorded and accounted for.
  • Review and reconcile ERP system work order documentation, investigating and resolving any discrepancies.
  • Support the Supervisor in stock investigations and reconciliations at the job level.
  • Proceed with traceability exercises and mass balance activities as per required standards.
  • Support the Stock Checker by printing stock sheets and raising queries as needed.
  • Manage changes to daily orders and job paperwork efficiently and accurately.
  • Understand stock mass balance at job and PO level and do everything possible to ensure stock accuracy. 
  • Support the Production team in resolving stock issues as they occur.
  • Provide support to the business to manage live stock and be accountable for it.
  • Manage stock misallocation updates when necessary.
  • Understand restrictions and stock allocation processes to support production and minimize errors from misused, misallocated, or incorrectly allocated stock.
  • Undertake general ad-hoc administrative duties as required and directed by the Shift Production Management Team.
  • Ensure all practices and procedures comply with Company Policy and Health & Safety guidelines.

Qualifications

  • Excellent written and spoken English skills including Maths and English at GCSE level or relevant qualification
  • Previous experience of working in a busy office environment
  • Experience in the use of MS Office (Word and Excel), training will be provided on in-house software
  • Be flexible, thorough and show attention to detail
  • Ability to follow instructions
  • Ability to work under pressure, to strict deadlines
  • Be organised and methodical in your approach to work
  • Knowledge and understanding of providing high quality and accurate administrative processes and procedures
