Job Description

 The role of Events Operations Assistant focuses on the essential logistics necessary to facilitate successful cross sector events and programmes.

As a vital Event Operations team member, you’ll contribute to various projects, including leadership briefings, conferences, workshops, and networking sessions. Being a team player, excellent attention to detail, effective communication, and sense of ownership are crucial in executing plans efficiently. Every event presents an opportunity to promote cross sector dialogue and create valuable connections to achieve WIGs charitable purpose.

Responsibilities
  • Provide administrative support for our varied and ambitious hybrid events program; with responsibility for on-the-day logistics and data across in-person and online elements.
  • Act as the primary point of contact for all member event queries and deliver high-quality and responsive customer service, with ownership of the event team’s shared inbox.
  • Manage the resource library on WIG’s website (editing and uploading event recordings and other content post-event), and work with the marketing team to coordinate event collateral and digital content.
  • Run registration at events upholding WIG’s excellent reputation, including evening, early morning, and some events outside London, which may occasionally require travel and overnight stays.
  • Monitor and report on event team KPIs.
  • Ensure continuous improvement of process, logistics, and user experience.
  • Engage with other WIG Teams, particularly with crosscutting areas such as marketing.
  • Contribute to wider events team activities including marketing and evaluation.

Experience

Experience using Microsoft tools such as Word, Excel, Planner and Outlook

Experience with CRM in particular Microsoft Dynamics would be advantageous

Experience in a customer service or business support role would be advantageous, but this would also be useful to someone entering the workforce for the first time

Some knowledge of basic AV including video conferencing, sound etc.
