Job Summary

The UK public sector is part of the national mission to hit net zero by 2050. Lexica has helped many public sector clients understand and map out their route to net zero. This must now be turned into implementation and delivery.

At Lexica, our net zero work is rapidly expanding. We are now hiring a Frameworks and Procurement Coordinator to support our work with NHS Trusts and other public sector bodies, with a focus on buildings and estates, heat decarbonisation and climate adaptation.

Reporting to the Net Zero Contracts and Frameworks Manager, you will use your organisational, administrative and data management skills to deliver for our clients and Senior Management, including leading coordination of our three procurement frameworks and providing meaningful data analysis and insights to internal and external stakeholders when requested.

What we expect from you

Framework support

  • Maintaining an accurate record of procurements through our three frameworks, including tracking and updating contract values, project timelines to inform forecasting and have oversight of project status using our Asana data system
  • Managing framework enquiries and ensuring Lexica responds within 48 hours of receipt
  • Support and guide clients throughout the procurement process using our Asana data system, outlining approaches for direct award and mini competition procedures
  • Collation and issue of Lexica Access Agreements to successful applicants
  • Data analysis to support reporting requirements to our status as an NHS England Accredited Framework provider, and leading on other initiatives to increase our access to public sector clients
  • Providing ad-hoc framework data analysis to support and inform the Net Zero Director and Framework Managers’ decision-making

Financial support

  • Scheduling invoicing for framework projects on commencement completion and strategic projects upon request within agreed SLA’s
  • Working closely with the Procurement and Framework Manager to resolve queries in a timely manner (i.e. chasing debtors, invoice payments, credit notes)

Quality Assurance and ISO support

  • Capturing lessons learned and feedback from clients to encourage continuous improvement
  • Maintaining an accurate record of Net Zero projects on Asana (including creating new projects, ensuring documentation and purchase orders are uploaded etc)
  • Ensure Lexica’s quality assurance and governance standards are being always met

What you will bring to the role

  • Recent experience undertaking a similar role
  • Excellent communication, interpersonal and organisational skills to meet business deadlines
  • An understanding of public sector procurement methods, particularly frameworks
  • An ability to extract data and accurately report information
  • An understanding of month end financial reporting would be an advantage
