Legal Operations Manager

  • London
  • £55,000
Job Description

About the Role

We are a legal campaigning organisation with a multi-skilled team of lawyers that (i) represents clients in numerous legal cases funded by Good Law Project (GLP), (ii) guides GLP with respect to its participation in and funding of other legal cases and (iii) works with GLP colleagues to manage risks associated with campaigning.

The Legal Operations Manager role is a critical role designed to straddle the Legal and Finance departments. Acting as a "translator" between the two functions, and as a reviewer, the position partners with, but predominantly relieves, senior leadership of administrative bottlenecks by integrating operational financial oversight, information gathering and management, systems management, and regulatory compliance into the heart of the legal team.

Culture & Character

This role requires more than just technical precision; it relies on a genuine affinity for GLP’s unique identity as a campaigner, legal funder, and solicitor. GLP’s various roles create important nuance and complexity, so we are looking for a candidate who approaches the role with curiosity and the humility needed to learn how GLP works best, and who is keen to get under the bonnet of how we operate and understand how our work is driven by impact, not profit. This is a role for a "hit-the-ground-running" professional who is keen to learn and who is comfortable navigating a fast-paced, mission-led environment. We need someone who is naturally inquisitive and proactive, bringing a structured, "commercially minded" toolkit to the team while remaining deeply committed to social justice, transparency, and the unique challenges of the non-profit sector.

Responsibilities

Finance and Funder

  • Periodically estimate and forecast GLP’s financial exposure from the legal portfolio (liabilities, contingent liabilities, and future commitments) on a case by case and portfolio level basis
  • Maintain accurate summaries of financial estimates for each campaign stage, working with Finance to track external costs (counsel/solicitors) and also reviewing and reporting on internal team time
  • Monitor ongoing case costs against estimates to facilitate timely strategic decisions on scoping, challenging external counsel on estimates where necessary
  • Review time records regularly, resolve anomalies, and close time recording system periods at month-end
  • Review project and expenditure coding to ensure costs are allocated to the correct project/matter with the correct VAT and corporation tax treatment
  • Prepare quarterly fee-paying client invoices, ensuring they reflect work executed, for review by Finance and the legal lead
  • Support the Finance Team with settlement accounts and client account allocations
  • Liaise with cost specialists as necessary, for example, in settlements and cost recovery

Legal & Information Management

  • Act as the systems owner for Monday/Asana within the Legal Team, ensuring complete and timely case field updates
  • Ensure all core documents (engagement letters, KYC documents, CFAs/DCFAs, and MOUs) are compliant, signed, and correctly filed
  • Maintain, review, and act as the "super user" for all core legal document templates
  • Manage contracts and subscriptions for expert legal resources (e.g., Thomson Reuters)

Risk, Compliance & Prevention of Crime

  • Support the formal MLRO by executing robust KYC and onboarding checks
  • Act as the primary investigator for suspicious activities reported by staff, documenting findings and preparing disclosures for the National Crime Agency for MLRO sign-off
  • Monitor GLP’s ongoing financial crime risks, keeping the Legal Team updated on regulatory developments
  • Conduct an annual professional compliance review (covering indemnity claims, complaints, breaches, and conflicts), drafting a summary report for the Executive Team and Board
  • Assist with SRA enquiries and manage the annual professional indemnity insurance renewals

General Responsibilities

  • Actively support and embed GLP’s values and its positive culture in your professional practice
  • Abide by all organisational policies, codes of conduct, and legal requirements
  • Be flexible and carry out other associated duties as may arise, develop or reasonably be assigned in line with the remit of the position
  • Support and promote inclusion, diversity and equality of opportunity in the workplace
  • Treat with confidentiality any personal, private or sensitive information about individual organisations, clients, donors and supporters, staff and projects
