We are seeking a highly organised, proactive and trusted Executive Assistant to provide dedicated support to the Managing Director and the Board. The role offers the opportunity to gain exposure to Board-level activity and develop governance experience within a supportive environment
This is a pivotal role that enables effective leadership through the seamless coordination of diaries, meetings, communications and governance activities. You will act as a central point of coordination across internal teams and external stakeholders, ensuring the Managing Director and Board are well-prepared, well-informed and able to operate effectively.
In addition to Executive Assistant responsibilities, the role will provide administrative support as Secretary to the Board (non-statutory). This includes coordinating Board activity, supporting effective governance processes and maintaining accurate records.
This role requires a high level of discretion, professionalism and attention to detail, alongside the ability to anticipate needs and drive efficiency.
Working Requirements
- This is a full-time, office-based role, reflecting the need for close and responsive support.
- Occasional travel and overnight stays may be required to support Board meetings and company events, with an expected maximum of approximately 10 nights per year.

Responsibilities
Executive Support & Coordination
- Manage the Managing Director’s diary, ensuring priorities are balanced and time is used effectively.
- Coordinate meetings, including logistics, agendas, papers and follow-ups.
- Prepare high-quality briefing materials, ensuring information is clear, accurate and available in advance.
- Manage inbox and communication flow where required, drafting responses and prioritising correspondence.
- Anticipate needs and provide proactive administrative support to enable smooth day-to-day operations.
Board & Governance Support (Non-Statutory)
- Act as Secretary to the Board on an administrative and coordination basis.
- Plan and organise Board and Committee meetings, including scheduling, logistics and venue coordination (including off-site meetings).
- Prepare and circulate agendas and Board packs, ensuring timely and structured distribution of materials.
- Attend meetings where required to take clear, accurate minutes and capture key decisions and actions.
- Track and follow up on actions arising from Board meetings.
- Maintain secure and well-organised records of Board documentation and decisions.
- Support forward planning of Board activity and contribute to the effective running of governance processes.
- Act as a key liaison between Board members and internal stakeholders, ensuring clear communication and coordination.
This role supports Board administration and governance coordination and does not carry the statutory responsibilities of a Company Secretary.
Travel & Logistics
- Arrange travel and accommodation for the Managing Director, including detailed itineraries and briefing packs.
- Ensure all logistical arrangements are delivered efficiently and with attention to detail.
- Support the organisation of company events and Board meetings held off-site.
Stakeholder Engagement
- Build effective working relationships across the organisation and with external stakeholders.
- Act as a professional and trusted point of contact, maintaining confidentiality at all times.
- Work collaboratively with internal teams to gather information and ensure alignment in communications and planning.
Competencies
Essential
- Proven experience as a Personal Assistant or Executive Assistant supporting a senior leader or executive.
- Exceptional organisational and time-management skills, with the ability to manage changing priorities.
- Strong written and verbal communication skills.
- High level of discretion, professionalism and attention to detail.
- Confidence working with senior stakeholders.
- Strong IT skills, including Outlook, Word, Excel and Teams.
Desirable
- Experience supporting Board or senior leadership team activity.
- Experience preparing Board papers or formal briefing materials.
- Background in a professional services, consultancy or regulated environment.
