Legal Administrator – Private Client
Location: Sheffield South West Office
Contract: Full time / part time
We are looking for an experienced and highly organised Legal Administrator to join our busy Private Client team. This is a key support role providing essential administrative service to help deliver an outstanding legal service to our clients.
You will be working alongside our fee earners to ensure the smooth running of day-to-day operations, with a strong focus on documentation preparation, client communication and case file management.
Key Responsibilities:
Support:
- Communicate professionally with clients, providing updates and supporting with enquiries.
- Take and relay telephone messages, book appointments, and support diary management for Fee Earners.
- Support the progression of client matters, liaising with clients and third parties where appropriate.
- Arrange meetings, conferences, and client appointments.
Document Management:
- Prioritise and produce legal documentation and correspondence using digital dictation.
- Format and process documents in accordance with the firm’s house style.
- Prepare and manage incoming and outgoing mail.
- Assist with document production tasks as required.
- Manage and organise large volumes of documentation with a high degree of accuracy.
Finance and billing:
- Raise and process invoices and bills accurately.
- Calculate VAT on bills and disbursements.
Administrative duties:
- Open, close and archive client files in line with firm procedures.
- Coordinate with Central Services team to arrange refreshments or client lunches.
- Carry out general office administration tasks to support the wider team.
What we’re looking for:
- Previous legal administrative experience ideally in a legal or professional setting is desirable.
- Strong IT skills.
- High level of attention to detail and organisational skills.
- Confident communicator, able to liaise with clients and colleagues professionally.
- Ability to work efficiently under pressure and manage multiple priorities.
