About the role:

We are seeking a proactive and highly capable Personal Assistant / Executive Assistant to provide exceptional, high-level support to our Chief Executive and Management Board. This is a critical role, designed to ensure the Chief Executive can focus on strategic priorities by enabling the smooth day-to-day operations, acting as a trusted gatekeeper, and providing seamless coordination across internal and external demands.

Supporting in fulfilling responsibilities, contributing to the overall success of the business through the provision of efficient and effective administrative support, we are looking for an experienced PA / EA who may be looking to expand into a governance and secretariat function or with experience already in supporting a board.

This role will involve:

Executive Assistant to the Chief Executive

  • Provide full administrative and organisational support to the Chief Executive.
  • Manage the Chief Executive’s calendar, schedule appointments, coordinate travel arrangements, and handle correspondence.
  • Prepare briefings, reports, presentations, and meeting papers as required by the Chief Executive.
  • Act as a point of contact for internal and external stakeholders on behalf of the Chief Executive.
  • Monitor and manage incoming communications and ensure timely follow-up on action items.
  • Support strategic planning and project follow-ups, including tracking deliverables and milestones.

Support to the Management Board

  • Coordinate and manage the schedule of Management Board meetings, including preparation and distribution of agendas, papers, and minutes.
  • Ensure effective documentation, version control, and filing of all Management Board and committee records.
  • Maintain a forward planner of Management Board and governance obligations and deadlines.
  • Provide logistical and administrative support for Management Board meetings (virtual and in-person), including venue setup, catering arrangements, travel and accommodation, IT / technical support, and minute taking.
  • Liaise with Management Board members and senior executives to ensure timely preparation and submission of materials and execution of actions.
  • Ensure compliance with internal governance protocols and relevant regulatory requirements, working closely with the Company Secretary.
  • Provide ad hoc administrative support for Management Board core members in relation to their Management Board role.

The role includes the opportunity to share and participate actively in the management and ownership of the business through the Employee Ownership Trust, which places full ownership of the company with the employees. The role is based in LUC’s London office. We work in a hybrid model with people being in the office a minimum of two days per week. There will also be regular, pre-planned travel required to attend meetings in other LUC offices.

A full-time role is based on 37.5 hours per week (Monday to Friday). However, LUC has a strong track record in flexible working, and we have been recognised for our flexible working culture, so we are happy to discuss a range of flexible working options for this role including part time hours (minimum 30 hours per week) if desired.

Salary: £30,000 - £40,000 FTE (Dependent on experience) including London Allowance.

Experience and qualifications

This role requires a highly organized, proactive, and discreet individual to serve as the Executive Assistant to the Management Board and the Chief Executive. This dual-function role is critical to ensuring the effective operation of leadership and governance processes.

The ideal candidate will be confident in managing complex diaries, coordinating high-level meetings, handling sensitive information, and supporting board administration in a fast-paced and dynamic environment.

Essential

  • Experience in a high-level administrative role (i.e. PA or EA).
  • Excellent written and verbal communication skills, including a high standard of written English.
  • Strong organisational, planning, and multitasking abilities.
  • Discretion and sound judgment when dealing with confidential information.
  • Proficiency in Microsoft Office Suite and familiarity with document management systems and virtual meeting platforms.
  • Ability to work independently and collaboratively with high attention to detail.
  • Professional demeanour and stakeholder engagement skills at all levels, including the ability to build positive working relationships with a wide range of internal and external contacts and stakeholders.
  • Alignment with our Values with a genuine interest in making a positive impact on nature, people and places.

Desirable

  • Experience supporting a Board or senior governance body is highly desirable.
  • Familiarity with corporate governance practices and company secretariat procedures.
  • Experience in a professional services or consultancy environment.
  • Project coordination or strategic support experience.
