Team Coordinator

About the role:

As a Team Coordinator, your role is intended to provide project related and overall administrative support to LUC's technical teams.

Based in either our Glasgow or Edinburgh office, you will be working as part of the wider UK support team, ensuring a consistent and high level of service is provided at all times to our Planning, Landscape Management and GIS & Visualisation Teams. You may also be required to support other teams in LUC from time to time.

This is a great opportunity to gain experience in an office environment and learn how a consultancy operates. Your day could be filled with setting up new projects, sorting out report formatting issues, preparing PDFs for issuing to the clients, working on a presentation or team chart and taking part in a workshop facilitation. In this role you would support our project teams in their daily delivery of services to clients. This involves setting up new projects, preparing and finalising reports in Word, InDesign, PDF, assisting with presentations or team charts and taking part in a workshop facilitation. The Team Coordinator will carry out a wide variety of tasks, which could include:

Prime responsibilities

  • Project support duties under the Quality Management System (QMS).
  • Specialist administrative support and assistance for business teams.
  • Preparation and formatting of client reports in different templates and styles, including LUC bespoke templates, client specific templates and WCAG 2.2 compatible templates.
  • When required, reception cover in your local office and general administrative support

Project support

  • Provide general administrative support in creating and maintaining project records on LUC's QMS, and update them as appropriate. These can include but are not limited to:

– Setting up new projects, ensuring accurate details on the system and right documents are tagged, signed and share with Project Director and Project Manager.

– Setting up subconsultants on Nest, whenever necessary, checking their details, preparing agreement template.

– Act as the main point of support contact to the assigned projects.

  • Provide specialist support in the production of project documents and reports. This includes working with MS Office and Adobe systems, as well as WordPress for digital reports.
  • Become one of the templates superusers and be able to fix any formatting issues in LUC's bespoke templates. In time, be able to deliver training to the technical teams on the use of LUC's templates.
  • Provide any other project support to the technical teams, including coordination of mailing campaigns within projects, creating surveys where applicable, assisting with stakeholder consultations when required.
  • Support technical teams with organising their resourcing schedules, creating team charts, Miro boards, presentations, and similar.

General support

  • Assist the office team with answering phone calls and taking part in regular cover of reception duties, which includes dealing with office enquiries, greeting visitors etc.
  • Check and action generic email accounts by dealing with requests or forwarding them to the relevant colleagues.
  • Occasionally assist the marketing team with local events.
  • Other duties as requested by your manager and commensurate with your role and responsibilities.

The role includes the opportunity to share and participate actively in the management and ownership of the business through the Employee Ownership Trust, which places full ownership of the company with the employees.

The role is based in LUC’s offices in Edinburgh or Glasgow. We work in a hybrid model with people being in the office a minimum of two days per week. There will also be travel required to visit sites, client offices and other office locations.

A full-time role is based on 37.5 hours per week (Monday to Friday). However, LUC has a strong track record in flexible working, and we have been recognised for our flexible working culture, so we are happy to discuss a range of flexible working options for this role including part time hours (minimum 30 hours per week) if desired.

Salary: £25,000 per Annum FTE

Experience and qualifications

We are looking for an individual who has a good understanding of Microsoft Office packages, is problem-solving oriented, takes initiative and can be flexible in a busy environment. If you have the following qualifications, skills and experience we would like to hear from you.

Essential

  • Proficiency in MS Word, Excel and Outlook is essential, especially a good understanding of Word templates and ability to solve formatting issues in reports. LUC uses bespoke report templates and the full training on these will be given, after which – in time – you will be expected to provide a high-level of formatting support.
  • You must be flexible, able to prioritise independently, manage multiple demands and work to tight deadlines, as these are key aspects of the role. The right person will meet these challenges with a helpful and positive attitude. This role also requires confident relationship building and communication at all levels within the organisation, as well as with external contacts.
  • Proactive approach and initiative in solving problems are key in this role, as well as ability to anticipate the support needs of the technical teams.
  • It is essential that you have a good eye for detail, especially in relation to reports and documents, and can provide a basic level of proofreading in English.
  • We do not require a specific level or type of academic qualification, but candidates must have relevant experience, be numerate and have a good standard of written and spoken English. They must also be able to demonstrate intelligence and organisation in their approach to work.

Desirable

  • If you have experience of using Adobe, PowerPoint, MS Teams, Intranet or document management systems, that would be desirable, otherwise training on these will be provided.
  • Prior experience in a support role, where you have used general administrative skills would be beneficial.
  • Understanding or experience of WCAG2.2 accessibility rules and guidance would be advantageous.
  • Experience of working within an ISO Management Systems environment would be advantageous.
  • An interest in the geography and environment or experience of working in our sector would be advantageous.
