Join Our Design Team

We are looking for a proactive and highly organised Design Administrator to join our busy Design department. This is an exciting opportunity for someone who enjoys a varied workload and takes pride in delivering excellent customer service while supporting the smooth running of design processes across multiple utility projects.

The Role

As a Design Administrator, you will play a key role in supporting the Design team by managing enquiries, maintaining accurate records, and ensuring documentation is processed efficiently and within set timeframes. You’ll work closely with internal teams, external clients, and utility providers to help keep projects moving and ensure all information is up to date and compliant.

Key Responsibilities

  • Provide high‑quality administrative support to the Design team, ensuring all enquiries and documentation are logged, tracked, and progressed efficiently.
  • Handle incoming and outgoing customer queries, delivering excellent service and ensuring all requests are managed promptly.
  • Request and collate missing information using the correct proformas, ensuring all enquiry files are fully complete.
  • Maintain and update trackers, Work Management Systems (WMS), and internal records to ensure information is always accurate and current.
  • Issue and manage existing utility records, ensuring access and passwords for record software are kept up to date.
  • Submit Points of Connection (POC) applications, land enquiries, approvals, and agreements within required timescales.
  • Apply to network owners for Asset Values.
  • Liaise with Business Development, Finance, and other internal teams to support efficient workflows and timely project progression.
  • Provide administration cover during periods of staff absence and assist designers during busy periods.
  • Ensure all correspondence and documentation is produced professionally, accurately and in line with company standards.

About You 

  • Minimum 3 years’ experience in a similar administrative role, ideally within utilities or a technical, fast‑paced environment.
  • Good working knowledge of Microsoft Office, email, and online systems.
  • Understanding of utilities processes, DNO/IDNO requirements or street works terminology is an advantage.
  • Strong planning and organisational skills with excellent attention to detail.
  • Confident communicator, able to work effectively with internal teams, clients and external stakeholders.
  • Reliable, flexible, and able to work well under pressure.
